Consent and choices
We obtain consent where required by law. For core client-service purposes, our collection, use, and disclosure practices are explained in client agreements, account-opening documents, our Relationship Disclosure Information, and related notices.
You may withdraw consent where applicable, subject to legal, regulatory, contractual, and recordkeeping restrictions. We will explain any resulting limits on services or processing.
We do not share your personal information with an affiliated provider of non-registrant services—such as tax planning, estate consulting, business advisory, or financial planning—unless you first give express, recorded consent. You may decline, limit, or revoke that consent. Your decision will not affect the availability, quality, or pricing of Sonance’s portfolio-management services.
Service providers and cross-border processing
We may use custodians, technology providers, document-management providers, professional advisers, auditors, security providers, regulators, and other service providers where reasonably necessary to provide services, meet legal obligations, or operate our business.
We require service providers to protect personal information through contractual and other measures appropriate to the information and services involved. These measures may include confidentiality, privacy, security, incident-notification, access-control, retention, return, deletion, and cooperation requirements.
Personal information may be processed, stored, backed up, or accessed outside your province of residence or outside Canada, including through affiliates and service providers. Sonance remains accountable for personal information under its control. Information processed outside Canada may be subject to lawful access by foreign courts, regulators, law-enforcement agencies, or other authorities under the laws of the relevant jurisdiction.
AI, recordings, and automated tools
Sonance may use technology, including AI-assisted notetaking or transcription, to support the administration and documentation of client meetings. Where a meeting will be recorded for these purposes, we will notify you and obtain affirmative consent before recording begins. You may decline AI-assisted recording or notetaking without affecting the availability, quality, or pricing of Sonance’s portfolio-management services.
Sonance does not use AI to exercise discretionary authority, authorize trades, replace the judgment of registered individuals, determine suitability, or make investment decisions.
Sonance does not permit third-party AI or automated-tool providers to use client personal information or account data to train or improve models made available to other parties, except where information has been irreversibly aggregated or de-identified.
Safeguards and retention
We use administrative, technical, and physical safeguards appropriate to the sensitivity, volume, and risk of the information we handle. Access is limited to people who require the information for their role or for an authorized purpose.
We retain personal information only as long as necessary for the purposes described above, to meet legal and regulatory requirements, and to preserve records for litigation holds, audits, investigations, or other valid requirements. We securely destroy, delete, anonymize, or de-identify information when it is no longer required.
Your privacy rights
Subject to applicable law, you may request access to the personal information we hold about you and request correction of information that is inaccurate or incomplete. We will verify your identity and authority before responding and will respond within applicable legal timeframes.
You may make a privacy complaint to the Privacy Officer. We will investigate and respond within applicable legal timeframes or, where no timeframe applies, within a reasonable documented timeframe. You may also have the right to complain to the Office of the Privacy Commissioner of Canada or an applicable provincial privacy authority.
Where applicable law gives you a right to information or human review of a decision based exclusively on automated processing, you may contact us using the details above.
